Client updates in one place for CA firms: WhatsApp, email and calls in one list per client

WhatsApp messages, emails and call notes about a client land in one list, each with an owner and a status.

Your team handles the replies that need a CA, the notices and the calls themselves.
The client and items are examples, to show the kind of entries the list holds.

In short

  • Every message and file a client sends, on WhatsApp or by email, lands in one list for that client, with the person handling it.
  • Files go straight to the client's folder, and the client gets a short note that they arrived.
  • Calls get a one-line note, so the next person knows what was said.
  • Clients hear when their work is filed, with the acknowledgement, so fewer of them call to ask.

In a small CA office, one client's work is spread across a staff member's WhatsApp, the partner's email and a phone call nobody wrote down. Each person knows a part. One list per client puts the parts together, so anyone in the office can answer the client.

An example week without it

A client sends a question about a GST notice to a staff member's WhatsApp, emails the bank statement to the partner, and then calls the office to ask whether the return has been filed. Three people each know a part, and the person who takes the call knows none of it. When the staff member leaves the firm, that client's WhatsApp history leaves with their phone.

That is an example, to show the kind of work involved.

What it costs

  • A file nobody saw. A challan sent to a phone nobody checked that week can hold up a TDS statement, and a statement delivered late costs ₹200 for every day it is late, under section 427 of the Income-tax Act, 2025.1
  • Calls asking where things are. Each "has my return been filed?" call interrupts the person doing the work.
  • History that leaves with a phone. What a client said and sent belongs to the practice, not to one person's phone.

What we set up

  1. One office number and one office address. A WhatsApp number on WhatsApp's official Business Platform, in your own Meta account, and one email address clients write to. They can be the ones you already have.
  2. One list per client. Every message and file that arrives is matched to the client by their phone number or email address and added to that client's list. Senders it does not recognise go to a short list for someone to sort.
  3. Files to the client's folder, with a note back. Attachments are saved in the client's folder, as in document processing, and the client gets a short reply that the file arrived.
  4. An owner and a status for each item: new, being worked on, waiting for the client, done. Each staff member starts the day with their own list.
  5. A one-line note for every call, added from a phone or a computer, so the next person knows what was said.
  6. Updates to the client. When a filing is done, the client gets the acknowledgement and the next date, as in the filed confirmation in our compliance calendar, without anyone having to remember to send it.

The list itself lives in your own accounts, in something your office already uses, such as a shared sheet. We agree on it on the first call.

On WhatsApp

  • The official route. The WhatsApp Business app is built for chatting on a phone. Meta's WhatsApp Business Platform is the official way to connect WhatsApp to other software: every message a client sends to your business number is passed on to your setup as it arrives.2
  • Your current number. A number already used on the WhatsApp Business app can be moved to the Platform. Meta also has a way for a number to stay on the app while it is connected, offered through its partners.3 Which fits your office is something we check on the first call.
  • What Meta charges. Replies within 24 hours of a client's last message are free. A message your office starts outside that window must be a template approved by Meta, and Meta charges for each one delivered.4 Reminders before due dates are covered in client reminders.

What runs by itself

  • Matching each message and file to the client, and adding it to their list.
  • Saving files to the client's folder, with the note that they arrived.
  • Each staff member's morning list of what is theirs and what is waiting.
  • The filed confirmation, with the acknowledgement and the next date.

What stays with your team

  • The replies that need a CA. Notices, tax questions and anything unusual.
  • The calls themselves, and the one-line note after each.
  • Who handles which client, and moving work when someone is away.

What you need to start

Your client list, with each client's phone number and email address and who handles them. The office WhatsApp number and email account, in your own accounts. We tell you exactly what we would build, and what it costs, before any work starts. If fees are part of the same conversations, our fee reminder templates show the messages for that.

Count it first

For one week, count the calls from clients asking for an update, and the client messages that went to someone's own phone. It shows how much of the office's day goes on finding out where things are. In the weeks before the audit dates, our ITR documents checklist shows how many separate items one client can send.

Questions CAs ask

Do clients have to do anything differently?

Only save the office number, if today they write to a staff member's own phone. Otherwise they message and email as before.

Can our staff still work from their phones?

Yes, the list opens on a phone. Replies go out from the office number rather than personal phones, so the conversation stays with the practice when someone leaves.

Where are the messages and files kept?

In your own accounts, so your clients' data stays with you.

Does WhatsApp charge for this?

Replies within 24 hours of a client's last message are free. A message your office starts outside that window is a template, which Meta charges for per message, paid from your own account.
