GST return reminders to clients: WhatsApp message templates for CA firms

Most of a GST cycle's client messages are the same five, sent on the same dates every month.

Key takeaways

  • The reminders hang on a few dates: GSTR-1 by the 11th and GSTR-3B by the 20th for monthly filers; GSTR-1 by the 13th and GSTR-3B by the 22nd or 24th after the quarter for QRMP filers.
  • Set your own document cut-off a few days before each due date, and time every reminder to that cut-off rather than to the due date.
  • On the WhatsApp Business app, a broadcast reaches only clients who have saved your number, and WhatsApp's policy requires a client's permission before you message them.
  • Requests, follow-ups and filed confirmations can run by themselves. Working out what a client owes, and anything unusual, stays with your team.

Most of a GST cycle's client messages are the same five: a request for documents, one or two follow-ups, a note of the tax to pay, and a confirmation once the return is filed. Written once and sent on fixed dates, they save your team from typing the same WhatsApp message to every client every month.

The dates the reminders hang on

These are the regular due dates. For example, for September 2026 the GST portal lists GSTR-1 by 11 October and GSTR-3B by 20 October for monthly filers, and for the July to September quarter, GSTR-1 by 13 October and GSTR-3B by 22 or 24 October.1

QRMP is open to taxpayers with aggregate turnover up to ₹5 crore.2 Due dates are sometimes extended by notification, so check the GST portal before each cycle's messages go out.

Set your own cut-off first

Our recommendation: choose one date each month by which clients must send their documents, a few days before your first filing date. For example, the 5th for monthly GSTR-1 clients. Then time every reminder to that cut-off. Your team gets the days before the due date for the work itself, not for chasing.

Ask for the same checklist every time, so clients learn it: sales invoices, purchase invoices, credit and debit notes, and the bank statement, or whatever your firm needs from that client.

Templates you can copy

Replace the words in brackets. Write them in English or Hindi, whichever your clients use.

Document request · on the 1st of the month

Namaste [Name] ji, this is [Firm]. Please share your GST documents for [month] by [cut-off date]:
1. Sales invoices
2. Purchase invoices
3. Credit and debit notes, if any
4. Bank statement for [month]
You can send them here on WhatsApp or upload them at [link]. Thank you.

First follow-up · two or three days before the cut-off, only to clients still pending

Namaste [Name] ji, a reminder from [Firm]: we still need [what is missing] for [month] by [cut-off date]. If you have already sent it, please ignore this message.

Final reminder · on the cut-off date

Namaste [Name] ji, today is the last day to send your documents for [month]. The return is due on [due date]. If they reach us late, we may not be able to file on time, and a late fee and interest can apply.

Namaste [Name] ji, your GST payable for [month] is ₹[amount]. Please pay by [date] using the challan we have sent. Kindly share the payment confirmation once done.

Filed confirmation · the day the return is filed

Namaste [Name] ji, your [return] for [month] was filed on [date]. ARN: [ARN]. The acknowledgement is attached. Thank you.

Sending them on WhatsApp

Broadcasts reach only saved contacts. On the WhatsApp Business app, a broadcast list sends one message to many clients at once, but WhatsApp says only contacts who have added your number to their phone's address book receive a broadcast.3 Ask every new client to save your firm's number at onboarding. Labels help: label clients "GST monthly" or "GST quarterly" and make a broadcast list from each label.

Permission comes first. WhatsApp's Business Messaging Policy says a business may contact people only if they have given it their number and have agreed to receive messages from it, and that it must respect any request to stop.4 Our recommendation: ask for that agreement in writing at onboarding, for example in the engagement letter or the KYC form.

A broadcast is the same message for everyone. It cannot send each client only what that client still owes, or stop by itself when their files arrive. That needs the reminders connected to your client list and to the documents you have received.

What can run by itself

  • The document request on the 1st, with each client's own checklist.
  • Follow-ups that go only to clients whose documents are still missing, and stop once everything is in.
  • The final reminder on the cut-off date.
  • The filed confirmation, with the acknowledgement attached.
  • A morning list for your team of who has sent what, so nobody has to ask.

What stays with your team

  • The numbers. Working out the tax payable, and explaining it to the client.
  • Anything unusual. Notices, mismatches and questions that need a CA's judgment.
  • Repeated delays. Deciding what to do about a client who misses the cut-off month after month.

Count it first

For one GST cycle, count how many reminder messages and calls your team sends, and how many clients send documents after your cut-off. That shows how much time the chasing takes, and gives you a number to compare once the reminders run by themselves. Fee follow-up works the same way: our fee reminder templates have the four messages for that.

Questions CAs ask

When should a CA firm send GST document reminders?

Our recommendation is a request on the 1st of the month, a follow-up two or three days before your own cut-off, and a last reminder on the cut-off date, so documents arrive before GSTR-1 is due: the 11th for monthly filers, and the 13th after the quarter for QRMP filers.

Can we send GST reminders to all clients at once on WhatsApp?

From the WhatsApp Business app, a broadcast list reaches only clients who have saved your number. WhatsApp's policy also requires the client's agreement before you message them.

What should a GST reminder message include?

The month, your cut-off date, a short list of what is still missing, and how to send it.

What are the due dates for QRMP clients?

Tax for the first two months of the quarter by challan in PMT-06 by the 25th of the next month, optional IFF by the 13th, then GSTR-1 by the 13th and GSTR-3B by the 22nd or 24th of the month after the quarter, depending on the client's state.
